Write it up

Work orders that move the way the shop moves.

  • Truck and trailer on one work order. Each job carries the unit it covers, so combined jobs stay straight.
  • Estimates they approve online. Email a draft work order as an estimate. The customer approves or declines from the link, and you keep a timestamped record of who approved what amount.
  • Declined repairs come back. When a customer says no, it’s remembered. Next time that truck is in, it’s offered back with one click.
  • Photos ride along. Before and after shots attach to the job and print on the customer’s copy when you turn them on.
  • Every job has a name on it. Salesperson or mechanic, picked from your team list, on every work order.

Get paid

The money side, the way shops actually get paid.

Terminal, phone and saved-card payments run on Diesel Genie’s own card processing, which we set up with your shop.

  • Fleet checks split themselves. One lump-sum check across nine open invoices lands oldest-first, automatically.
  • One link for several invoices. Pick a customer’s open invoices and email one payment link. They pay once, and it spreads across the invoices, oldest first.
  • Tap to pay at the counter, or take it by phone. A card terminal takes one invoice or several in a single charge. Over the phone, staff you authorize type the card into the processor’s secure form. Diesel Genie never sees the number.
  • Customers can save their own card. After an emailed code proves who they are, a customer can save a card and pay the next invoice in one tap. Only the customer can use it. Your shop can remove it, but never charge it. Off until you turn it on.
  • Statements and reminders. Customer statements and automatic overdue-payment reminders go out from the app.
  • Deposits read like a bank statement. Green while the money is on file, red once it pays an invoice, with the exact invoice named.
  • Sales tax the way the state wants it. Reported by the month you got paid.
  • Online card payments. Pass the card fee through when you choose.

  • Profit on every invoice. What you charged, parts at their real average cost, and what’s left after labor pay.
  • Tech pay, three ways. Hourly, flat per billed hour, or percent of labor. The team report shows exactly what you owe each person.

  • Pay stays private. Out of the box only the owner and the accountant see wages and profit, and you decide who else can.
  • Techs get their own view. They land on their own open work orders, and you decide per person whether they can add customers or equipment, void their own drafts, or see customer prices.
